Process Set Up 1. Setting processes in Products |
Send comments on this topic. |
Introduction
Process are things you do in your business such as Engraving, Laser Engraving, Sand Blasting, Sublimation, etc.
As mentioned we set the program up so that anyone can easily mold the program to there system. Some people build the price of Processes into their trophy price and others don't. So we came up with a solution to handle this making it easy to set up in bulk.
We built certain processes into products such as General Trophies, Medallions, Acrylic Trophies and Glass Trophies. We set all of these processes to a $0.00 dollar amount so at the moment they have no price implication at all they are just sitting inside the products waiting to be either removed in bulk or price set in bulk.
The built in built Process are: (NEVER DELETE THESE PROCESSES)
Artwork Type Setting Art Department built into all Glass and Acryilc Trophies
Trophy Engraving Diamond Drag built into all General Sports Trophies
Perpetual Trophy Engraving Diamond Drag built into all Perpetual Trophies
Medal Engraving Diamond Drag Built into all Medallions
Glass Trophy Engraving (S,M&L) Sand Blasting built into all Glass Trophies
Paper Weight Engraving Sand Blasting built into all Glass Trophies
Acrylic Trophy Engraving (S,M&L) Laser Engraving built into all Acrylic Trophies
These are the processes you need to either remove or set the prices for. And while you are at it you can set the Process type as well. Process Types are assigned to departments and this is the way the process work gets allocated on the job schedule
They are built into the Products Break down list (which we call the Bill of Materials) which can be seen in the Product Editor screen. See image below.
To get to the Product editor and have a look for yourself go to Products>Product Editor and select a product

Lets Set built in Processes to suit your business.
The statements below are hyperlinks and will take you to the appropriate part of this document that will help you achieve the correct pricing for your business
Click on the appropriate statement
· (A) I want to include process charges in my Sports Awards
· (B) I want to Include Process Charges in my Acrylic and Glass Trophies.
· (C) I do not want to include process charges in my products
· (D) I want to re-assign a process to a different process type.
· Tell me about Artwork Typesetting
(A) I want to include process charges in my sports catalogues.
Easy, the processes are already built into the products you just need to set the price. We have to set the price for: TROPHY ENGRAVING, MEDAL ENGRAVING and PERPETUAL ENGRAVING
How to Set Prices of Processes to include in your product retail price.
Products > Process List
WARNING
Please do not change the title of any of these processes as further import files sent by us will be affected. You can change these later if you want to but for know leave the titles the same until you fully understand the implications of changing the title. For full detail on this click here
1. Open the Process List in the Products Module
2. Filter By Engraving Diamond
3. Select the Process you wish to change. Double Click to open the Process in the Process Editor
4. Set The Price
5. Check the price is correct
6. Save
Now all General Sports Trophies will have this process charges value added to the sell price of the trophy. The trophy will now be priced on cost plus mark up plus the process charge.
Don't forget - DO NOT change the title of the process
While you are here - Assign the Process to the right department.
TROPHY ENGRAVING has been assigned to the process type Engraving-Diamond. To Change this to Laser just use the drop down in Process Editor and select a different Process Type. It's that simple. This assignment to Process Type sets the department flag so that when this process is added to a sales order the system knows that the Departments associated with the process type is required to do some work on the job.
Repeat this for other Processes in the above list until you have set all prices and process types to suit your business.
(B) I want to Include Process Charges in my Glass and Acrylic Trophies.
Take the same action as section (A) but consider these points.
Please remember not to change the title of the built in Process names as this will effect future import files we send you. For Full details click here
1. Acrylic Trophies generally come in small, medium and Large. We have created three Acrylic Trophy engraving processes as per above. They are Acrylic Trophies Laser Engraving Large, Medium, Small
So you can set three different prices accordingly or if you just have one flat rate for all sizes then simple set all three to be the same price.
Glass Trophies also have three processes for the small medium and large situation so again set these according to your business style. There is one more process to consider here. Paper Weight Engraving. This has been added to the very small glass and crystal pieces such as TCD dome paper weight
2. Acrylic Trophy engraving has been set as the process type Laser Engraving. To change this simply select the Process Type that you use when you are setting the price for the process.
Glass Trophies have been assigned to the Process Type Sand Blasting. If you do not use sand blasting for this process simply change the process type to the process that you use.
(C) I do not want to include process charges in my products
So you need to remove the processes from your products. You can do this quickly in bulk.
Products > Process List
WARNING
Removing Processes from products in bulk will permanently remove the process from all products and there is no bulk way of adding them back - Except if you re-import the product with the process built in.
Procedure
1. Simply open the Process list
2. Find the Process you want to remove (as per the above listing)
3. Press the Remove From All Products Button at the bottom of the Process Editor
4. Read the WARNING and be sure of yourself and then press YES
The process is then removed from all Products and the products price is adjusted accordingly. Obviously if the price is set to zero for the process then no price change happens
There is a fully detailed document on this subject. If you would like to read it click here
(D) I want to re-assign a process to a different process type.
The above information has pretty much covered that steps to take to shift Processes from one Process Type to another. Here is full instructions
Process Transfer Procedure
1. Open the Process Editor screen Products > Process Editor
2. Locate the Sand Blasting Processes to transfer
3. Select one of the processes
4. drop down the Process Type List
5. Select Laser
6. Save
7. Set the price to your requirement.
Once you have transferred and priced the processes correctly you will have set up the Glass trophies with the correct retail price if you have already set the Mark Up to your business model. There is one more thing to do here. The Products have got a Non-Ordering Component built in to factor in the resist cost. So as you are Laser Engraving them you will want to remove it from all Glass Trophies.
After completing the relevant Tasks you have successfully removed the process Charges or set them to your business model and the pricing is complete.
Well almost complete. Just one more step in price management:
Every Glass trophy has a generic Resist component built in.
Click on the appropriate statement
· (1) if you do not sand blast glass trophies you will want to remove this
· (2) If you do Sand Blast but use Laser Mask instead of resist you may want to adjust this.
Remove Resist Component from Glass Trophies.
The resist components all start with RZ-. There are around 36 of them to remove.
1. Open the Component List Screen - Stock Control > Component List
2. View by Component Type
3. Select Sand Blasting Materials
4. Sort by Component Code
5. Find the codes starting with RZ-
6. Check the box of each one
7. Press delete
8. Choose to remove them from products
I use LaserMask to create my sand blasting stencils and I then sand blast my Glass Trophies
You Need edit to RZ- resist components to make them Lazer Mask components and re-assign them to the Laser department.
1. Open the Component List Screen - Stock Control > Component List
2. View by Component Type
3. Select Sand Blasting Materials
4. Sort by Component Code
5. Find the codes starting with RZ-
6. Decide if you want to change the Glassware component codes as well as the Glass trophies
7. Open each one and:
a) Change the RZ pre-fix to LZ
b) Change the component Type to Laser Materials
c) Edit the description to LaserMask.
d) Reduce the cost by two thirds.
· This transformation will change all of the resist components in all of the glass trophies (and glassware if you selected those) to a Laser Mask component which will effectively assign the resist costs and work allocation to the Laser department.
· The sand blasting process is still in the Products bill of materials so you will get a process charge and work allocation to sand blasting.
Sometimes I Laser Engrave my Glass Trophies and sometimes I Sand Blast them
It would be better for you not to have processes in Bill of Materials and to add processes as a separate line on your sales orders or to add processes through the modify product system at the sales screen. you could also make up a Value add form that has all the possible processes in them and add the ones you want to add each time.
In all of the above suggestions need to delete the process charges in the Process Type Screen which will remove them from any products that have them assigned to their Bill of Materials.
The Processes to remove are:
From the Sand Blasting Process List
· Glass Trophy Etching Large
· Glass Trophy Etching Medium
· Glass Trophy Etching Small
· Paper weight Etching
From the Laser Engraving Process List
· Acrylic Trophy Large Laser Engraving
· Acrylic Trophy Medium Laser Engraving
· Acrylic Trophy Small Laser Engraving
Follow the Remove Process charges from Products Procedure
I Sand Blast My Acrylic Trophies and want Sand Blasting Charges added to my Acrylic Trophies.
You need to:
Transfer the Laser Engraving charges associated with glass trophies to the Sand Blasting Process type and set the prices to suit your business.
